Novel Coronavirus (COVID-19) Update 03/15/2022

As always thank you for your continued efforts as we face the challenges and evolving landscape associated with COVID-19. We are continuing to coordinate and collect necessary information to comply with the NJ Vaccine Mandate, staff may receive emails under separate cover with specific requirements based on status. Please be on the lookout and ensure you are following up on any requirements. 

This update includes: 

  • Screening question changes - Effective 3/16/2022
  • Overview of Executive Order 290 & date changes
  • Office events update
  • Compliance & Disciplinary process 

There has been some recent update published in Executive Order 290, the update has provided an extension for booster doses until May 11, 2022 for healthcare workers, this has changed from the original order requirement of March 30, 2022.  Staff that have begun the process to receive the vaccination still must comply with completing the 2nd dose of the vaccine by March 30, 2022. Executive Order290 also notes the recent CDC change that recommends males between the ages of 12 - 39 to discuss the most appropriate time frame between vaccinations, in some instances they are recommending 8 weeks between vaccinations for males between 12-39 years old. Executive Order 290 further requires that employers have in place a disciplinary process for non-compliance. As previously stated, failure to comply with the provisions outlined will result in further disciplinary action up to and including termination. Additional disciplinary processes due to non-compliance are attached for review. The requirements below have been updated to reflect the new dates for compliance with the EO 283/290.

REMINDERS: 

  • Boosters
    • Staff that received their 2nd vaccination dose on or before November 12, 2021, you are required to obtain a booster by 5/11/2022. 
    • Staff that received their 2nd vaccination between November 13, 2021, and February 16, 2022, are required to obtain booster once they reach 6 months for the Pfizer and Moderna vaccine and after 3 months for the J&J vaccine. 
  • 2nd vaccination dose
    • For staff that began their vaccination series by the 2/16/2022 requirement your 2nd vaccination dose is required by 3/30/2022.  
  • Exemptions
    • We're required to be submitted by February 4, ​​2022, or March 11, 2022 respectively. 
    • In some circumstances, an extension will be granted for qualifying religious or medical exemptions. If you require an exemption and did not already submit one, they must be submitted by March 18, 2022. Exemption requests for existing employees will NOT be accepted after March 18, 2022. If you have any questions regarding the exemption process please reach out to Melonie, Cyndy, or Desi for further instructions. 
    • Exemptions do NOT exempt employees from the weekly testing requirement. An approved exemption places staff into required weekly testing. 
  • Testing Requirements
    • Unvaccinated & Tested positive for COVID-19 within 90 days - will need to resume testing upon reaching 90 days from the confirmed positive test and will need to continue with testing until becoming fully vaccinated. If an exemption was received and approved testing will be required ongoing. 
    • Approved Exemptions: 
      • Unvaccinated - must continue to comply with weekly testing ongoing. 
      • Vaccinated without booster - will be required to begin testing the week of May 16, 2022 
  • Daily Wellness Screening:  
    • Please complete your daily wellness screening at the START of your shift each day. If you generate a response indicating, you FAILED your wellness screening you are to notify your manager and employee health immediately.  Random audits are performed for compliance. 
  • Visitors: 
    • We are continuing to limit visitors within our facilities. Patients that require assistance and those for OB/US may have 1 visitor accompany them. The visitor must be screened and comply with the use of a surgical mask.  
  • Walk-ins: 
    • We are not currently accepting walk-ins on a regular basis. However, if a patient does walk-in to schedule an exam, please screen them and assist them with scheduling if cleared. 
  • Compliance:

    • COVID Disciplinary Procedures

    • Attached please find the formal disciplinary procedures that are in effect for non-compliance with COVID requirements. 

CHANGES: 

  • Screening Questions: 
    • Effective 3/16/2022
      • Have you tested positive for COVID-19 in the last 90 days? 
      • Yes 
        • Has it been 10 days or longer since your positive COVID test?  
        • Yes – Scheduled patient exam & no further screening questions.  
        • No – Schedule FSR & proceed to question #2 
      • No – Proceed to Question 2  
      • Pending Results – Schedule FSR 
      • Do you have a new onset, fever, sore throat, cough, or flu like symptoms beginning in the last 10 days? 
      • Yes – Ask these follow up question 
        • Since the onset of your symptoms have you had a NEGATIVE covid test OR have you tested positive in the last 90 days? 
        • Yes - Schedule patient exam & no further screening questions need to be asked beyond this point. 
        • No  -  Schedule FSR & proceed to question #3. 
      • No – Proceed to Question 3 
      • Have you had close contact with anyone suspected of or positive for COVID-19 in the last 14 days? 
      • Yes  
      • Are you up to date with all COVID vaccines including Booster if eligible?  
        • a.    Yes – Schedule exam 
        • b.     No – Schedule FSR 
      • No - schedule patient 
  • PPE: 
    • Masks are to be always worn during working hours. Staff can wear surgical masks, KN95, or N95 masks. Masks must provide at least 95% filtration; this information can be found on the package. If you are unable to confirm that mask filtration is at least 95% you are not permitted to wear the mask in a clinical setting. Please discuss with your Office Administrator if you plan to wear a mask other than those provided by AMI. Masks must be worn over the nose and mouth. 
    • Currently, we are continuing to recommend that patients wear a surgical mask when in the facility, covering both the nose and mouth. 
  • Office Events:
    • We would like to allow offices to resume some level of normalcy in having events at the office. We do still feel that it is important to have some measures in place as this remains a healthcare setting and is not subject to the general public rules. Up until now we have asked offices to refrain from group events, food sharing, only allowing individually wrapped or prepared foods, no large gatherings with unmasked staff, etc. We are going to allow some activities to resume pizza parties, potlucks, bake offs, etc. with the following conditions: 
      • Be sure to wash your hands prior to handling any food items or shared utensils.  
      • Masks are to be work while preparing individual plates or serving food items. 
      • Maintain social distancing when unmasked. 
      • Move events outdoors when possible.
